Everything You Should Prepare Before Sending Your Design to a PCBA Factory
When working with a PCBA manufacturer, one of the most common questions from OEMs and product teams is:
“What documentation do we need to submit to start production?”
In practice, missing or unclear files often result in assembly errors, repeated prototyping, schedule delays, or failed testing. To help avoid these risks, this article outlines the core documents required for PCBA manufacturing and explains how each one supports a smooth production process.
1. PCB Production & Placement Data
The foundation of any PCBA project starts with accurate PCB data.
Gerber files define copper layers, solder mask openings, silkscreen, and board outline. These files are mandatory for PCB fabrication.
Component placement (XY) data specifies the exact position and rotation of each component, enabling precise SMT assembly.
Best practice: Include clearly labeled silkscreen layers with reference designators to simplify inspection and troubleshooting.
2. Bill of Materials (BOM)
The BOM acts as the central reference for component sourcing and assembly. A well-prepared BOM should clearly state:

Specific soldering methods (reflow, wave, selective, or manual)
Special processes such as conformal coating, glue dispensing, or tinning
Without these instructions, factories may follow default processes, which can lead to rework or functional issues.
4. Testing Documents and Programming Files
To verify product functionality, testing information should be prepared in advance.
Common test-related documents include:
Test point locations
Functional or in-circuit test procedures
Firmware or programming files for MCU burning
Result: Clear test documentation helps ensure that each assembled board meets performance requirements before shipment.
5. Reference Samples or Visual Aids (Optional)
Although not mandatory, reference materials can significantly improve manufacturing accuracy.
Recommended items:
Approved physical samples
High-resolution images of the PCB (front and back)
Close-up photos of critical components or assemblies
These references are especially helpful for new designs or time-sensitive projects.
